Privacy Policy
This Privacy Policy explains how mnemosyne systems collects, uses, discloses, and protects personal information when you use our website, software, support channels, and related services that link to this Privacy Policy (collectively, the “Services”).
1. Our privacy approach
mnemosyne systems builds local-first and self-hosted products. For products designed to run on your machine or in your own environment, our default approach is:
- no API keys collected by us;
- no telemetry sent to us;
- no automatic upload of your prompts, code, files, or model inputs and outputs; and
- no data leaves your machine unless you choose to enable an opt-in connected feature or third-party integration.
If you opt in to hosted features, remote services, support uploads, diagnostics uploads, or third-party integrations, information may be transmitted outside your environment as necessary to provide that feature.
2. Scope
This Privacy Policy applies to personal information we collect:
- on our websites and online properties;
- when you contact us;
- when you request a demo, evaluation, download, newsletter, support, or commercial offering;
- when you use any hosted or connected service we operate; and
- when you voluntarily send us information, including feedback or support materials.
This Privacy Policy does not apply to:
- information processed entirely on your local device where we do not receive it;
- third-party services you choose to connect to our software;
- data processed solely on behalf of a customer under a separate written agreement; or
- information covered by separate notices or contractual terms.
3. Personal information we collect
We may collect the following categories of personal information:
Information you provide directly
- Contact information, such as your name, business email address, company, title, phone number, and mailing or billing information.
- Account information, such as login credentials, account identifiers, and account preferences, if we offer account-based services.
- Commercial information, such as subscription details, order history, invoices, and payment-related records. Payment card processing may be handled by third-party processors.
- Communications, such as the content of messages you send to us through email, forms, support requests, or other channels.
- Feedback and submissions, such as feature requests, evaluations, bug reports, survey responses, and information you voluntarily provide for troubleshooting.
- Job application or recruiting information, if you apply for a role with us.
Information we collect automatically from our website and hosted services
- Log and device information, such as IP address, browser type, operating system, pages viewed, referring URLs, approximate location derived from IP address, timestamps, and diagnostic records created by servers and security systems.
- Preference information, such as theme preference or similar settings stored in your browser or device.
- Cookie and similar technology data, as described in our Cookie Policy .
Information we generally do not collect by default from local-first products
For products designed to run locally or in self-hosted environments, we generally do not collect by default:
- prompts;
- code or repository contents;
- files or datasets processed by the product;
- model inputs or outputs;
- API keys; or
- product telemetry.
We may receive such information only if you choose to send it to us, such as through support attachments, feedback submissions, hosted features, account-backed sync, or other opt-in functionality.
4. Sources of information
We collect personal information from:
- you directly;
- your employer or organization, if it purchases or administers Services for you;
- service providers who support billing, communications, infrastructure, security, recruiting, or support;
- publicly available sources, such as professional profiles or company websites; and
- third-party services you connect to our offerings, but only to the extent you authorize that connection and data sharing.
5. How we use personal information
We may use personal information to:
- provide, operate, secure, and maintain the Services;
- communicate with you about the Services, including support, updates, security notices, and administrative messages;
- respond to inquiries, demo requests, and commercial discussions;
- process transactions and manage billing;
- improve our website, documentation, support workflows, and hosted offerings;
- investigate misuse, fraud, abuse, and security incidents;
- comply with law, enforce our agreements, and protect our rights, users, and systems; and
- send marketing communications where permitted by law and subject to your choices.
We may also use information you voluntarily submit, including bug reports and feedback, to improve our products and services.
6. When information may leave your machine
Because many of our products are local-first, whether data leaves your machine often depends on what you enable.
Information may leave your device or environment when you:
- use our website;
- submit a contact form, demo request, or support request;
- opt in to diagnostics, feedback, sync, or hosted features;
- configure our software to interact with a remote model, cloud service, or external API; or
- choose to upload files, prompts, logs, or screenshots to us or to a third party.
If you configure our software to use a third-party AI model provider or API, your data may be sent directly from your environment to that provider under that provider’s terms and privacy policy.
7. How we disclose personal information
We may disclose personal information:
- to vendors and service providers that help us operate our business and Services, such as hosting, payment, communications, customer support, and security providers;
- to professional advisors, auditors, insurers, and financing or transaction counterparties;
- to government authorities, regulators, courts, or law enforcement where required by law or legal process;
- to protect the rights, property, safety, or security of mnemosyne systems, our users, or others; and
- in connection with a merger, acquisition, financing, restructuring, sale of assets, or similar business transaction.
We do not sell your prompts, code, files, or API keys because, by default, we do not collect them from our local-first products in the first place.
We do not use your local product data for model training unless you explicitly provide that data to us for that purpose.
8. Cookies, local storage, and analytics
We use limited cookies and similar technologies on our website. For example:
- browser storage may be used to remember your theme preference;
- essential website functionality may rely on technical storage or similar mechanisms; and
- analytics or embedded third-party content may set cookies if enabled.
For details, see our Cookie Policy .
9. Data retention
We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:
- provide the Services;
- maintain business and tax records;
- resolve disputes;
- enforce agreements; and
- comply with legal obligations.
Retention periods vary depending on the type of information, the sensitivity of the information, the purpose for which it was collected, and applicable legal requirements.
10. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No system is completely secure, and we cannot guarantee absolute security.
You are responsible for protecting your own systems, credentials, backups, and local environments, especially when using self-hosted or local software.
11. Your choices
Depending on how you interact with us, you may have choices to:
- opt out of marketing emails by using the unsubscribe link or contacting us;
- disable cookies or browser storage through your browser settings;
- choose whether to enable external integrations, hosted features, or diagnostic submissions; and
- request access to, correction of, or deletion of certain personal information, subject to applicable law.
12. U.S. state privacy rights
If you are a resident of a U.S. state with an applicable privacy law, you may have rights, subject to exceptions and verification, that can include:
- the right to know whether we process your personal information;
- the right to access personal information;
- the right to correct inaccurate personal information;
- the right to delete personal information;
- the right to obtain a portable copy of certain personal information; and
- the right to opt out of certain targeted advertising, sales of personal information, or profiling in furtherance of decisions that produce legal or similarly significant effects, where applicable.
We will not discriminate against you for exercising applicable privacy rights.

13. Children’s privacy

14. International users
mnemosyne systems is based in the United States. If you access the Services from outside the United States, you understand that your information may be transferred to and processed in the United States or other jurisdictions where our service providers operate.
